Show-rate, the weekly, and QA · 26 min

A weekly an owner will actually read

In this lesson

  • Write numbers, one problem, and one ask — not a 12-tab dump
  • Tell a filled good weekly from a filled bad weekly

Three blocks. If a fourth appears, cut it.

Priya will not read a Looker with twelve tabs. She will read three blocks on one page. Numbers — this week’s counts with a source and a date range (forms, logged calls, booked, no-shows, show-rate, completed tickets). One problem — the single ops break that explains the numbers (shared cell, unlogged GBP, Saturday forms sitting until Monday). One ask — a decision she can make by Friday 4pm (name the Saturday dispatcher; give dispatch a logged number; approve killing Baltimore ZIP targeting). If you cannot say the ask in one sentence, the weekly is not done. Charts are optional after the three blocks. They never replace them.

Filled good weekly — steal the shape, not the fiction

Subject: Cedar & Stone weekly — Sep 1–7 — one ask. Numbers (source: CRM export Sep 1–7 + GBP call list): 14 website forms, 4 GBP calls (0 logged — they hit the shared cell), 6 booked, 3 no-shows, show-rate 3/6 (50%), 3 completed tickets. Target remains 40 booked this month; we are behind on logged first-touch, not on “brand awareness.” One problem: Saturday 11am forms and GBP calls still die on the shared cell. Two of the three no-shows never got a day-before SMS because nobody owned dispatch after 2pm Saturday. One ask: By Friday 4pm, name the Saturday dispatcher and move GBP/calls to the logged dispatch number. Until that exists I will not promise a 15-minute Saturday SLA in any client-facing line. Next we run (not an ask): confirm-the-window SMS on every BOOKED lead. I do not know which of the 14 forms became a job — saying I do would be a lie.

Filled bad weekly — this is the rewrite pile

Subject: Exciting wins!!! Body: We are #1 HVAC in Hagerstown (trust me). CTR on Search is up so the funnel is healthy. Every homeowner who applies will be approved for financing. Dana’s lot moved 11 CR-Vs — we should try that offer here. Customers say “best techs in Maryland” (I asked ChatGPT for five-star voice). Also attached: Northfield’s weekly tabs, leftover VIN list, and last quarter’s Shamrock open rates. Need you to “keep doing what you’re doing” and maybe add Baltimore. No numbers. No owner. No date range. This weekly must never leave the tenant — and most of it must never be written.

The good weekly admits what you do not know (which form became a job). The bad weekly fills the hole with another client’s data. That is the QA skill, not a vibe.
