QA: the line that must not ship

In this lesson

  • Mark invented ranks, guaranteed loans, leftover client data, and AI reviews before send
  • Use a 10-item tenant-isolation checklist — not five generic vibes

Four claim families that fail the send

Invented ranks: “#1 in Hagerstown,” “best HVAC in Maryland,” “top-rated on Google” without a dated screenshot you still have. Guaranteed money: “every applicant approved,” “guaranteed loan,” “lowest prices in Maryland,” “same-day install guaranteed” — Priya’s offer forbids the last two. Leftover client data: Northfield VINs, Dana’s lot counts, Shamrock open rates, another tenant’s spend, a filename that still says northfield-weekly.xlsx. AI reviews: five-star quotes you generated and attributed to homeowners. QA is reading the weekly as if you were the other client’s lawyer and Priya’s license board in the same chair.

The 10-item checklist you will reuse

(1) Every rank or “#1” has a named source and a date — or it is cut. (2) No guaranteed loan, guaranteed approval, or guaranteed same-day install. (3) No leftover names, VINs, lot counts, or file names from another tenant. (4) No review quotes the homeowner did not write. (5) Every number has a source and a date range. (6) Screenshots and CRM views are filtered to Cedar & Stone only before you paste. (7) Claims match Priya’s live offer (fall tune-up $129, same-week emergency heat in-area, written estimate — not Baltimore, not “lowest in Maryland”). (8) Weekend SLA names a person and a clock time, not “the system will handle it.” (9) Stage counts reconcile: booked − no-shows = shows; you do not invent a closed-won pile. (10) The ask is one decision Priya can make this week — not “keep up the great work” and not a Baltimore expansion she already refused.

Tenant isolation is a send-blocker. If the weekly, the screenshot, or the attachment could teach a second client’s numbers to Priya — or Priya’s numbers to Dana — it does not ship. Filename, export filter, and pasted table all count.

Exercise

Red-line the bad weekly

Open the filled bad weekly from the previous lesson. Mark every line that fails one of the 10 checks. For each mark, write the checklist number and a replacement sentence that could ship to Priya. Leftover Northfield / Shamrock lines are deleted, not rewritten into Cedar & Stone fiction.

Deliverable: Annotated bad weekly: checklist #, cut-or-rewrite, replacement line or DELETE.

Show-rate, weekly, and QA check

Cedar & Stone booked 22 appointments and logged 9 no-shows. What is the show-rate, and what happens if they book 40 next month at the same rate?
Which lines must not ship in Priya’s weekly? Select all that apply.
A BOOKED heat visit no-shows at 8–10am. What is the honest recovery branch?
What belongs in an owner-readable Cedar & Stone weekly?
True or false: Attaching northfield-weekly.xlsx or pasting Dana’s VIN list into Priya’s note is fine if you change the title to Cedar & Stone.

Assignment

One good weekly, one rewritten bad weekly, 10-item QA

Submit three artifacts for Cedar & Stone (Priya Shah), not Northfield. (1) One filled good weekly: numbers with source and date range, one ops problem, one ask she can decide by Friday 4pm. Use last month’s facts (61 forms, 14 unlogged GBP calls, 22 booked, 9 no-shows, 13/22 show-rate) or a named hypothetical week — label which. Admit what you do not know. (2) Take the filled bad weekly from the lesson (invented #1, guaranteed approvals, leftover Dana/CR-V/Shamrock data, AI reviews) and rewrite it into a shippable weekly. Delete leftover-tenant lines; do not launder them into HVAC fiction. (3) Attach the 10-item QA checklist from the lesson with a pass/fail mark against your good weekly. Not five generic items (“be honest,” “proofread”). No invented ranks, no guaranteed loans, no other-client leftovers, no AI reviews.

Deliverable: Good weekly + rewritten bad weekly + 10-item QA checklist marked pass/fail on the good weekly.

Write at least a short brief (80+ characters). A mentor reviews for a pass.
