Three messages, not a 14-email novel

Message 1 is automation at T+0: confirm we got the request, say a dispatcher will offer a real window, do not promise same-day. Message 2 is a human inside the Saturday SLA (11:15 if dispatch is on; Monday 8:00–9:00 if not): two real windows, one qualifying question (heat out vs tune-up). Message 3 is either a day-before confirmation if BOOKED, or a T+24h value + one question if still not booked. After that, the 72-hour map owns the retries. A 14-email drip that never names a person is how 61 forms become 22 appointments.

Worked copy you may adapt — not invent rates for

SMS 1 (automation, T+0): “Cedar & Stone got your request. A dispatcher will text a real service window — today only if we have one, otherwise Monday morning. This is not a same-day promise. Heat out? Call the dispatch line we log. Reply STOP to opt out.” Email 1 subject: “We have your request — next step is a window.” Body: what we received, what happens next, what we will not do (show up unannounced; guarantee same-day; approve a loan). SMS 2 (human, 11:15): “This is Maya at Cedar & Stone dispatch. I can put a tech at your address Saturday 2–4pm or Monday 8–10am. Which window works? If the heat is out, reply OUT and I treat it as emergency-heat.” SMS 3 if BOOKED (day-before): “Reminder: Cedar & Stone, Monday 8–10am, 14 Dual Highway area. Reply C to confirm or R to reschedule. A no-show burns a truck we cannot send to someone else.” SMS 3 if not booked (T+24h): “Still want a window this week? Fall tune-up is $129 online, or emergency heat in-area this week. Reply TUNE or HEAT — a dispatcher books it. A robot will not.”

Lines that must not ship: “A tech will be there in an hour” with no calendar slot. “You’re pre-approved.” “Book your CR-V at Northfield” leftover from another tenant. Star ratings you wrote with AI and signed as customers. If the line would get Priya a complaint or mix two clients, it is a critical fail.

Exercise

Label every step human or machine

Take the three messages above. For each, write: sender (automation / named dispatcher), earliest clock time on a Saturday-11am lead, and the stage the lead must be in before that message may send. Then rewrite SMS 2 for a fall tune-up (not a dead furnace) without promising emergency heat.

Deliverable: 3-row sender/time/stage table + one rewrite of SMS 2 for a tune-up.

Saturday SLA and stage locks

Assignment

7-day Cedar & Stone map + 3-message copy

Build a junior-runnable 7-day map for a Saturday 11am Cedar & Stone form (emergency heat or fall tune-up — pick one and stay with it). Every row needs: clock time or daypart, owner (automation vs named human), channel, SLA, and the branch if nobody answers. Include the first 72 hours in detail (Saturday 11:00 / 11:15 / 14:00 / 17:00, Monday standup, Tuesday park-or-retry). Then write the 3-message sequence (SMS + the email for message 1) in plain language with human vs automation labeled. Do not invent open rates, click rates, or a same-day truck you do not have. Northfield may appear only as a one-line lot-desk contrast, not as the client.

Deliverable: 7-day SLA map with no-answer branches + 3-message SMS/email pack labeled human vs automation.
